Okaloosa Gas District
We asked for a product that would help us in our daily HR operations - and Abra listened.
When every position in the organization requires training, you better have an efficient system to administer your training program. Okaloosa Gas District, located in Florida's panhandle, trains every employee in hazardous materials. Many employees are also required to take courses in service, installation, supervision and a variety of other subjects. With over 150 employees, that's a lot of training for one person to oversee.
Until Abra Train was introduced, Okaloosa's Training Coordinator, Teri Garrett, maintained two systems for administering her company's training program - Abra Train for DOS and Abra HRTM. Teri wanted her human resources information system to integrate with training.
Single Entry System Saves Time, Improves Efficiency
Sage Decided to utilize Teri's input, choosing Okaloosa Gas District as a beta site during its Abra Train testing. Teri communicated several features she wanted to see, and when beta testing was through, most of what she asked for had been added.
"With Abra Train, it's much easier to interface with other HR data,": says Teri. "I don't have to enter everything twice or switch back and forth between programs. That saves me time."
Job-Coded Training Requirements "A Tremendous Help"
Previously when an employee was placed in a position, training requirements would be assigned to employees when they started their jobs. With Abra Train, training requirements are identified by job code or salary grade, so new or transferred employees have their training requirements already identified the day they start their new jobs.
"This has been a tremendous help," states Teri, "It was difficult tracking requirements by job before. With Abra Train, employees' training needs are attached to their job codes.
"We also track recurring training requirements for those positions requiring certification, ensuring employees stay current," adds Teri.
Training Records Automatically Kept Up-To-Date
"Not having to manually reconstruct an employee records when they complete a course has been a big plus," relates Teri. "Abra's Training Needs screen is automatically updates when a course is completed. If three of four required courses have been completed, the system shows one course remains to be taken, immediately informing the supervisor and Human Resources of the employee's current training status."
Cost Reporting is More Accurate, Less Work
Teri has an easier time getting her arms around training costs since implementing Abra Train. In the past
she'd review monthly expense report folders, manually computing individual expense reports to get an accurate picture of her training costs.
"I designed a custom panel in Abra Train to manage my costs by course, travel, meals and hotel," says Teri. "I can immediately determine no only how much each course cost, but the total cost based on related expenses. And I can easily allocate training costs to the appropriate department," says Teri. "It's much easier to keep accurate records now."
Adds Teri, "We asked for one complete human resources package and got it. Abra listened."
